Bulk Invite – Add Multiple Users to the Organization

The Bulk Invite feature in Hidesc User Management allows administrators to add multiple users at once by entering their email addresses. Instead of creating users one by one, this feature helps onboard entire teams or departments quickly and efficiently.

Both SaaS and Premise models support Bulk Invite, with a slight difference:

SaaS Model: Users receive invitation emails and set their own passwords through a secure link.
Premise Model: Users are created immediately, and administrators can assign or reset passwords later if needed.

Bulk Invite Workflow

Step 1 – Access Bulk Invite: From Add New User, click Bulk Invite (top-right). The Invite Users form opens.

Step 2 – Enter Email Addresses: Enter multiple email addresses separated by commas or press Enter after each email.

Example: user1@company.com, user2@company.com, user3@company.com

How It Works

Admin enters multiple email addresses in the Email field.

Admin selects a default Role for all invited users (e.g., Employee).

Admin clicks Save, and the system sends secure invitation emails to each entered address.

Each invitation email contains a secure registration link. On clicking the link, the user is redirected to the registration form.

The user fills the required fields: Name, Phone, Gender, and Department.

After completing registration, the user gains direct access to the Hidesc Task Management system as a registered organization user.

Duplicate Emails – The system automatically ignores or flags duplicate email addresses to prevent multiple entries.

One-Time Use Links – Invite links become inactive once the registration process is completed, ensuring account security.

Example Use Case

You're adding 10 designers to your new branding project. Instead of creating them one by one:

1. Open Bulk Invite.

2. Paste all 10 email addresses.

3. Set the role to Employee.

4. Click Save → all designers receive instant invites.

5. They sign up with their details and begin working immediately.
